Step 2

Define onboarding workflow

A consistent onboarding process ensures every new client gets the same quality of service. Here's a framework you can adapt.

  • Confirm what's included and clarify what's not included in their plan
  • Set SLA expectations for response time, emergency support, etc.
  • Record client's timezone and preferred contact hours
  • After session, send welcome email with onboarding overview
  • Assign internal team member as client point of contact
  • Set up internal Slack/Notion/CRM entry for the client
  • Send secure credential submission form to client. Confirm form has fields for:
    • WordPress admin login
    • Hosting panel login (if hosted elsewhere)
    • Domain registrar login
    • CDN/Cloudflare access
    • Notes on 2FA or IP restrictions

Core audit

  • Check current PHP version and compatibility with WordPress core
  • Identify the active theme and whether it's custom, child, or commercial
  • List all active plugins and flag any outdated, unsupported, or redundant ones
  • Review wp-config.php for hardcoded settings, debug mode, memory limits
  • Review .htaccess rules and identify any redirect issues or caching rules
  • Confirm CRON is working (use WP-Cron or check real cron if disabled)

Security check

  • Scan for malware or file changes
  • Check for user accounts with admin access (are any suspicious?)
  • Review login security (2FA, reCAPTCHA, brute force protection)
  • Confirm valid SSL certificate and HTTPS redirection
  • Look for signs of a previous hack or spam injection

Performance snapshot

  • Run performance tests
  • Check load times, Core Web Vitals, and mobile responsiveness
  • Identify heavy plugins or theme assets that slow down the site
  • Assess caching setup (plugin vs server-side)
  • Evaluate hosting plan suitability based on performance and traffic

UX & visual assessment

  • Note any layout shifts, broken design elements, or janky interactions
  • Test key flows: contact form, checkout, lead magnet downloads
  • Check for mobile responsiveness and device compatibility
  • Flag anything that feels outdated, unpolished, or low-trust

Summarize & prioritize findings

  • Compile audit summary in a tool of your choice (like Notion)
  • Group issues by priority: Critical | Medium | Low | Informational
  • Highlight quick wins you'll handle during onboarding (e.g., remove unused plugins, fix broken links)
  • Add longer-term recommendations to client roadmap (e.g., hosting upgrade, theme rebuild, Core Web Vitals improvements)
  • Add website to WP Umbrella
  • Check IP whitelisting or firewall
  • Confirm valid SSL
  • Store all credentials in a password manager
  • Enable 2FA where possible
  • Set folder permissions for internal team access
